making a booking via the group desk

If you don’t yet know the size of the group or the names of the passengers
The advantage of booking via the group desk is that it allows you to give certain details later. This gives you more flexibility. You can spread the payment between when you book and two months prior to departure and you can also cancel the booking under certain conditions.

To apply for a group fare simply fill in and return the online application form. You will receive an answer within a week.

Conditions that apply to group bookings made via the group desk

NB. Two additional conditions apply to bookings made less than 2 months prior to departure. These are noted under ‘Payment’ and ‘Changes/cancellations’.

Prices
The seats available on a flight are offered at different fares. The seats available at the lowest fare are always offered first. Once these seats have been sold, the seats available at the next fare up are offered. In most cases you will find that the earlier you book the cheaper the (group) fare will be.

Indication of the price
You can ask the group desk to send you an indication of the price and conditions by fax or by e-mail. Please note that the price quoted is simply an indication. No rights can be derived from it.

Provisional bookings
When you apply for a group fare you should also indicate whether you wish to make a provisional booking. The group desk will send you an indication of the price and will let you know whether it is possible for you to make a provisional booking for the flight(s) in question. If it is possible, you must indicate by return whether you wish to make a provisional booking. The period during which you can confirm the booking will commence from that moment on.

Period for which provisional bookings are held
Provisional bookings are held for a maximum of 3 working days. The option to confirm the booking will automatically expire at 12:00 midday on the third day. If you wish to confirm the booking, you must do so in writing before then.

The period for which provisional bookings will be held is shown below:
  • A provisional booking made on Monday will expire at 12:00 on Thursday.
  • A provisional booking made on Tuesday will expire at 12:00 on Friday.
  • A provisional booking made on Wednesday will expire at 12:00 on Monday.
  • A provisional booking made on Thursday will expire at 12:00 on Tuesday.
  • A provisional booking made on Friday will expire at 12:00 on Wednesday.
If there is an official public holiday in the Netherlands within the option period, the period for which the provisional booking is held will be extended accordingly.

transavia.com reserves the right to withdraw the option at any time. The period for which the provisional booking is held may also be shortened. If this is the case, you will be notified in advance and given the opportunity to confirm the booking.

Names
You must let the group desk know the names of the passengers at least three days prior to departure. You can do this by e-mail. Please note that names must be given as they appear in the passport! The first name must be given in full.

Payment
Bookings made via the group desk must be paid for with a credit card or via a bank transfer. When you make the booking you will be asked to pay a deposit of 20% of the total cost of the booking for a group of up to 50 passengers, or a deposit of 40% of the total cost of the booking for a group of more than 50 passengers. When paying by bank transfer, we have to receive the payment within 3 working days after the booking is made. If we did not receive the amount, the booking will be cancelled. The deposit is non-refundable.

Please note. You are asked to ensure that there is sufficient credit on your credit card to cover the outstanding sum two months prior to departure. If we are unable to charge the outstanding sum to your credit card the booking will be cancelled. The deposit is non-refundable.
Please note. You yourself are responsible for keeping track of the time limit of two months prior to departure. If you book less than two months prior to departure the total cost of the booking will be charged to your credit card at the time of the booking.
  • Discount for children: does not apply
  • Fare for a baby: € 15.00 per person, each way
  • Administration fee (with credit card payment): € 7,50 per booking
  • Administration fee (with bank transfer payment): € 4.00 per booking

Changes/cancellations
The following fees apply:
  • To change a name on a booking: € 35.00 per person, each way, plus any difference in the fare
  • To change the flight: € 35.00 per person, each way, plus any difference in the fare
  • To change a spelling error: € 35.00 per person, each way
(The administration fee does not apply in this case.)

If you wish to change the booking within two month prior to departure, you can only pay for the changes by credit card.

If you wish to cancel the booking you must do so in writing at least two months prior to departure. The cancellation fee is 20% of the total cost of the booking for a group of up to 50 passengers, or 40% of the total cost of the booking for a group of more than 50 passengers. In other words, the deposit is non-refundable.

NB. If you make a group booking less than two months prior to departure:
The booking is definitive at the time of the booking and you can only pay by credit card! In this case the cancellation fee is 100% of the fare. There will be no refund if some of the passengers drop out. Passenger taxes may be refunded. See general conditions of carriage / fare conditions / cancellations for details of the procedure.

All of transavia.com’s usual conditions (including the General Conditions of Carriage of Transavia Airlines CV) apply, to the extent that the text set out above does not deviate from these conditions.
